How do I send my first freelance invoice?
Start with the work and price you agreed, add clear sender and client details, state when payment is due, and send a reviewed invoice with an agreed way to pay.
Gather the details before making the document
Keep the accepted quote or agreement beside you. Confirm who should receive the invoice and whether the client requires a purchase-order number or a particular billing address. An invoice should describe the work clearly enough that the person paying can recognize it.
- Add your business details and the client’s billing details.
- Give the invoice a unique number, issue date, due date and currency.
- Describe each service, quantity or hours, rate and total.
- Include any applicable taxes, agreed discounts and payment instructions; verify local requirements separately.
Review a concrete example
For a fictional website refresh, 12.5 agreed hours at $100 per hour produce $1,250 before any taxes or adjustments. If another page is requested later, agree its price separately instead of quietly changing the issued total. Check the PDF on both a laptop and a phone before sending.
Send it and record the outcome
Send the document to the agreed billing contact and keep a copy. Track delivery, due date and verified payment separately. If payment is late, first ask whether the billing team received the invoice and whether anything needs clarification. Avoid putting private project notes in the invoice.
